The City of Fairborn is located northeast of Dayton at the intersection
of I-70 and I-675. It is home to Wright State University, the Nutter
Center, and Fairborn City Schools. It’s host to Wright Patterson
AFB and the Fairborn Branch of the Greene County Library. Fairborn’s
population in the 2000 census was 32,052. It covers 13.4 square
miles.
Fairborn has been a tax customer of SSI for over 10 years. Recently
they decided to upgrade their Income Tax System and to install
SIRE document management.
Document Management improves productivity and staff morale
Debbie Billetter, Fairborn’s Revenue Manager, has been very
impressed with the capabilities of SIRE document management and
its integration with SSI’s Income Tax System. Debbie said: “SIRE
document management has increased our productivity and improved
customer response with a reduced staff. Department morale is at
an all-time high and we look forward to streamlining more of our
processes.”
Tom Marshall, SSI’s sales engineer, has worked closely with
Fairborn during their installation process. Tom said: “Fairborn
is using the system to efficiently scan their tax returns. The
paper returns are then stored by the date received in batches.
This means they no longer have to file each individual return in
its own file folder. With the electronic image, the paper returns
will only be kept for one year instead of five years, thus reducing
the amount of office space needed for storing their records. Since
SIRE is integrated with SSI’s Income Tax System, they can
quickly and easily access all tax documents while they are processing
the return.”
System is easy to use and saves money
Debbie has been extremely
impressed with document management. She said: “We have found
SIRE to be easy to use since it is very user friendly. It has enabled
us to quickly and accurately
access our tax records. Now, we find our tax returns and taxpayer
letters in seconds instead of minutes. In fact, we could enlarge
our office by removing unused file cabinets.”
Tom said: “Fairborn can now expand the use of SIRE’s
document management system into other departments in the city.
The tax department has already seen the following benefits:

Document management simplifies processes
The city derives many
benefits from the new system. For example, now one person can
scan all of the tax returns when they are
received and can process the payments. The other staff members
are free to focus on auditing the returns. They do not have
to continually leave their desk to get a customer file and the
related
documents.
SSI staff is very supportive
Debbie has been very pleased with
the service she has received from SSI. She said: “The support
from SSI has been excellent both during and after the installation.
Their staff has a wealth
of experience in document management. They were able to recommend
hardware and processes which made the transition easy and smooth.
It
was a difficult decision to commit to a document management system
in our tax office. Now, I don’t know how I would function
without the system. Also, I look forward to using other features
of the system, such as workflow, to assist us in other areas.” |
